Exhibitor Move-in Times
Wednesday, September 17, 2008, 7:30 p.m. – 9:30 p.m.

Exhibitors will not be permitted to set up during show hours.

All exhibitors must use loading dock 4 located on the West side of the Toronto Congress Centre between the designated times.

Exhibitor Move-out Times
Thursday, September 18, 2008, 5:30 p.m. – 6:30 p.m. (no exceptions)

All materials must be removed by 7:00 p.m.

Booths that are not dissembled and removed from the premises by the allocated move-out time will be sequestered at the exhibitors' own risk. A holding/shipping fee will be charged. RCC and its contractors are not responsible for lost stolen or damaged.

Badges
Badges will be available for pick-up on Thursday, September 18, 2008, at the registration desk.

For savings, please note the pre-show deadline on each of the forms. Please return by fax to the number listed on the form.

Materials Provided by RCC
RCC will provide the following items for your exhibit space:

  • 8' high black drape
  • Maroon carpet
  • Dollies for move-in and move-out
  • Overnight security

    Shipping to the Show
    It is the exhibitor's responsibility to send shipments on the move-in day. During move in hours, show management and TCC staff will accept shipments on your behalf. Exhibitors must ensure that the "Third Party Billing" box has been marked after the TCC address on their Waybill, and their company name, the receiver and booth number is clearly indicated.

    The TCC does not restrict exhibitors/couriers from carrying their own material or from setting up their own exhibits. RCC will provide dollies, but you must move it yourself and enter only through the designated loading dock 4 at the West side of the Toronto Congress Centre.

    Exhibitor/couriers are requested to bring their own tools, ladders and other required items to erect their exhibits. The TCC does not loan any of these items, but they can be rented through Stronco Show Services. All labour requirements for the set-up and tear down of the exhibit are the responsibility of the exhibitors (this includes storage of crates and boxes).

    Advance Receiving
    TCC has limited space available on the loading docks for receiving materials in advance of the move-in date. If you require pre & post-show receiving and storage services, Lange is set-up to receive, transport and store your exhibit space.

    Booth Cleaning
    The carpet in your exhibit space will be cleaned after the displays are made ready. It is the exhibitor's responsibility to clean any other items located in your designated space.

    Exhibitor Parking
    There is ample free parking at the Toronto Congress Centre.

    Merchandise/Food & Beverage Sampling
    Exhibitors will not be permitted to distribute merchandise or food and beverage sampling at the event facility without permission of RCC/TCC.

  • RULES & REGULATIONS
    Insurance
    Under no circumstances shall RCC, their contractors, or the exhibit facility be liable for any lost profits or any incidental, special, indirect, punitive or consequential damages whatsoever for any of their act or omissions, whether or not appraised of the possibility of any such lost profits or damages. RCC makes no representations or warranties, express or implied, regarding the number of persons who will attend the event or regarding any other matters. Exhibitors should take all possible precautions to protect their own property, including insurance for liability within your booth space.

    Booth Display Restrictions
    RCC reserves the right to restrict or remove any exhibit, which RCC, in its sole discretion, believes is objectionable or inappropriate. No exhibit may exceed a maximum height of 8 ft. and width of 10 ft. Displays, demonstrations or distributions of advertising materials are not permitted outside the confines of your booth. The use of microphones is not permitted.

    Signage
    No signage or material may be extended above the 8 ft. height at the back of your booth nor hung from the ceiling or across the aisle. All signs must be printed on one side only.

    Damage & Repairs
    TCC and RCC staff will conduct a pre and post event inspection of the licensed area. Damages and damaged areas will be noted. The exhibitor shall promptly pay for any and all damages to the exhibit facility or associated facilities, booth equipment or the property of others caused by exhibitor.

    Fire Regulations
    Retail Council of Canada is obligate to abide by TCC's Fire regulations. Please read and understand the rules & regulations when exhibiting and displaying in public buildings.

    Cancellation Policy
    Exhibitors are obligated to fulfill their sponsorship contract by exhibiting at the event. Cancellations will not be accepted. Failure to show will result in an administration fee of $300 (plus GST). Retail Council of Canada reserves the right to cancel this event due to insufficient registrations and will only be responsible for refunding applicable registration/sponsorships fees.
